A new office lease sets the rules for every office partition you put up. The landlord decides what you may build, the building manager decides when you may build it, and the lease decides what you must tear down when you leave.
Most tenants only read those rules after the layout is drawn. By then, the rooms may not fit the column grid, the approval queue eats into the rent-free weeks, and nobody has priced the exit.
This guide is for business owners and office managers taking a new floor in the Klang Valley. It follows the lease from viewing to hand-back and shows where partition decisions fit at each stage. For the systems themselves, start with our office partition service page.
The short video below gives a one-minute overview of the fit-out stages your partitions sit inside.

1Check the Base Building Before You Sign
Quick Answer: Two floors with the same square footage can hold very different layouts. Columns, window mullions, ceiling height, sprinkler spacing and air-con zones all decide where an office partition can land. Walk the floor with your partition contractor before signing, so you know the layout works and roughly what it costs.
The base building is what the landlord hands over: slab, columns, windows, risers, and often an existing ceiling grid and sprinkler layout. Your partitions must work with all of it. Check these on the viewing:
- Column grid and window mullions. Partitions should meet a mullion, not the middle of a glass pane. A tight mullion spacing gives you more room-width options.
- Slab-to-ceiling height. This decides whether walls stop at the ceiling or run to the slab. Our guide to full vs half-height partition walls explains the trade-off.
- Existing ceiling and sprinklers. Every new enclosed room needs sprinkler and detector coverage. Fewer rooms under the existing layout means less fire services work.
- Air-con zones. A meeting room with no supply or return grille gets stuffy fast. Note where the diffusers sit.
- Floor finish. Raised floor, screed or carpet changes how partition tracks are fixed and later removed.
Ask the landlord for the floor plan, the reflected ceiling plan and the tenant fit-out guide during negotiation. If the floor needs a lot of work to suit you, that is a point to raise on rent or fit-out period.

2Turn Headcount Into an Office Partition Room List
Quick Answer: Partition cost follows the number and size of enclosed rooms, not the floor area. List every room you need for your headcount at move-in and in three years, then size each one. That list becomes the brief your partition contractor prices from, and it shows early whether the floor is big enough.
| Room | How many | Typical size (sq ft) | Usual partition |
|---|---|---|---|
| Director or manager room | 2 – 3 | 100 – 150 | Gypsum or half-glass |
| Meeting room (4–6 people) | 2 | 120 – 180 | Aluminium-framed glass |
| Boardroom (10–12 people) | 1 | 250 – 350 | Glass front, drywall sides |
| Phone or focus booth | 2 – 4 | 25 – 40 | Glass or drywall |
| Server or store room | 1 | 60 – 100 | Full-height gypsum |
| Pantry | 1 | 150 – 250 | Half-glass or left open |
Indicative estimates for planning, Klang Valley, 2026. Actual sizes depend on furniture, the column grid and your team’s way of working.
Two habits keep the room list honest:
- Plan for year three, not day one. Adding a wall mid-lease means another landlord approval and another round of after-hours work.
- Leave growth space open-plan. Empty rooms you may never fill still cost money to build and money to remove.
The type of business matters too. A single-company office needs fewer, larger rooms. Running the floor as shared or flexible space changes the room count and acoustic needs, so see which office partition wall suits a coworking space.
3Match the Office Partition System to Your Lease Length
Quick Answer: On a short lease, the cheapest wall to build is not always the cheapest wall to own. Gypsum drywall costs least to install but is demolished at the end. Aluminium-framed glass costs more but can be dismantled cleanly. Weigh install cost, reinstatement effort and how long you will stay together.
| System | RM / sq ft installed | At lease end | Reinstatement effort | Suits |
|---|---|---|---|---|
| Gypsum drywall | RM 8 – 14 | Demolished and disposed | Low to moderate | Most leases; solid walls and store rooms |
| Aluminium-framed glass | RM 28 – 45 | Unbolted; frames partly reusable | Moderate | 3–6 year leases, likely relocation |
| Frameless tempered glass | RM 40 – 70 | Panels reusable only if sizes match | Moderate | Longer leases, client-facing rooms |
| Operable or movable wall | RM 80 – 140 | Track removed from ceiling structure | High | Long leases with training or event rooms |
Installed rates from Hypro’s office partition service page, 2026. Reuse and reinstatement effort are indicative and depend on how carefully the system is dismantled.
Glass deserves a specific warning. Tempered glass cannot be cut after it is toughened, so panels only move to a new office if the new rooms use the same heights and widths. Aluminium frames are more forgiving. Our glass partition page covers the framed and frameless options in more detail.
A practical split for most leases is drywall for walls that need privacy or security, and framed glass for meeting rooms on the open floor. If your new lease is a warehouse with an office section, the logic changes again. Our guide on building aluminium partition offices in a warehouse covers that case.
4Get Landlord and Building Approval for Partitions
Quick Answer: Almost every office lease needs the landlord’s written consent before you put up partitions. The building manager will also ask for drawings, a renovation deposit and contractor details. If new rooms change fire protection, the building’s consultant and Bomba may be involved. Start this paperwork as soon as the layout is agreed.
Approval is where fit-out schedules slip most quietly. The landlord’s team has its own queue, and drawings often come back with comments. A typical approval sequence looks like this:
- Read the tenant fit-out guide. It lists approved hours, materials, wall heights and any rules on glass or fire-rated walls.
- Submit the layout and partition details. Include wall types, heights, door positions and how walls meet the ceiling and windows.
- Answer comments and resubmit. Allow at least one round of revisions in your programme.
- Pay the renovation deposit and register contractors. The building usually needs company details and worker lists before anyone enters.
- Confirm fire services changes. New rooms may need sprinkler heads and detectors moved by a fire protection contractor, with approval where required.
- Collect written consent before work starts. Keep it with the lease; you will need it again at hand-back.
Fire requirements come from the Uniform Building By-Laws and are enforced by the Fire and Rescue Department of Malaysia (JBPM). If any wall must be fire-rated, such as next to an escape corridor, read when you need a fire-rated partition before finalising the layout.

5Fit Partition Works Inside Your Fit-Out Period
Quick Answer: If your landlord grants a rent-free fit-out period, every week of delay before work starts is a week of rent you lose later. Partition installation on a full floor usually takes two to four weeks on site. The paperwork and other trades around it take longer, so plan backwards from move-in day.
| Week | Stage | Partition task |
|---|---|---|
| −6 to −4 | Before signing | Site walk, room list, budget estimate |
| −3 to 0 | Lease signed | Final layout, itemised quote, landlord submission |
| 1 – 2 | Approval and set-up | Revisions, deposit, glass and frame ordering |
| 3 – 4 | Framing | Tracks and studs set out after M&E first fix |
| 5 – 6 | Boarding and glazing | Board, insulation, glass panels, ceiling close-up |
| 7 | Doors and handover | Door hanging, locks, snag list, as-built drawings |
Indicative estimate for a 3,000–5,000 sq ft floor in the Klang Valley, 2026. Approval time and night-only working hours can stretch any stage.
The weeks on site are only half the picture. Partitions share the floor with air-con, electrical, data and fire services, which other specialists handle and which must be coordinated with the walls. The ceiling often closes up at the same time, so the suspended ceiling package should follow the same programme.
Two items have the longest lead times. Custom glass panels and door hardware are made to measure, so order them as soon as consent arrives. Waiting until framing is finished adds weeks you cannot get back.
6Budget for Partition Reinstatement on Day One
Quick Answer: Most office leases require you to return the floor to its original condition, which means removing your partitions and making good the ceiling, floor and walls. Ask the landlord now whether they will accept any walls at hand-back. Then set aside a reinstatement allowance alongside your fit-out budget.
| Partition type | Relative cost | RM / sq ft of wall |
|---|---|---|
| Gypsum drywall |
|
RM 2 – 4 |
| Aluminium-framed glass |
|
RM 3 – 5 |
| Frameless tempered glass |
|
RM 4 – 7 |
| Operable or movable wall |
|
RM 6 – 10 |
Indicative estimates, Klang Valley, 2026, covering removal, disposal and basic making good. Ceiling, floor and fire services reinstatement are priced separately.
Reinstatement is easier to control when it is planned in from the start. Three choices made at fit-out stage cut the exit bill:
- Stop walls at the ceiling where privacy allows. Walls run to the slab need more drilling and more making good at the exit.
- Keep as-built drawings and the consent letter. They prove what you installed with approval, which matters in hand-back disputes.
- Ask about handing walls over. Some landlords keep good-quality rooms for the next tenant. Get any such agreement in writing.
When you compare fit-out quotes, ask each contractor to price removal as a separate line. Our guide to office partition contractor cost and scope explains what else belongs on an itemised quote.
7Conclusion
Planning office partitions for a new lease is mostly about timing. The decisions that save money happen before you sign and before anyone builds a wall.
Walk the floor with your contractor while you are still negotiating. Write a room list for the headcount you expect, not the one you have. Choose each system with the lease length and exit in mind, start landlord approval early, and order long-lead glass the day consent arrives. Then put a reinstatement allowance next to the fit-out budget.
Do that, and the lease works for your layout instead of against it. For a full view of the systems, materials and service scope, visit Hypro Renovation.
8Frequently Asked Questions
1. Do I need landlord approval to install office partitions?
Almost always. Most Malaysian office leases require written landlord consent for any partition works, and the building manager will ask for drawings, a renovation deposit and contractor details. Some walls may also need fire services changes approved through the building’s consultant.
2. When should I start planning office partitions for a new lease?
Before you sign. A site walk with your partition contractor during negotiation shows whether your room list fits the floor and what it will roughly cost. That gives you facts to negotiate the rent-free fit-out period with.
3. How long does office partition installation take?
A single meeting room takes two to three days. A full office floor usually takes two to four weeks on site, plus time for landlord approval and ordering glass. Night-only working hours in occupied buildings extend that.
4. Which office partition is best for a short lease?
Gypsum drywall has the lowest install cost and suits private rooms on most leases. For meeting rooms, aluminium-framed glass costs more but can be dismantled cleanly. Compare install plus removal cost over the lease, not install cost alone.
5. Do I have to remove my partitions when the lease ends?
Usually yes. Most office leases require reinstatement to the original condition unless the landlord agrees in writing to keep the walls. Ask early, keep your consent letter and as-built drawings, and budget for removal from day one.
6. Can glass partitions be reused in my next office?
Sometimes. Aluminium frames can be dismantled and partly reused. Tempered glass cannot be cut after toughening, so panels only fit the new office if room heights and widths match.
